Job Description Administrative Assistant: We are a Luxury Staffing Agency seeking a part-time bi-lingual Human Resources Administrative Assistant for our fast paced Employment Office located in NYC. The applicant needs to be able to perform general administrative duties, which include but are not limited to the following: HR Responsibilities: Responsible for executing payroll and updating employee records for payroll purposes. Provide applicable reports to Accounting for payroll audits. Provide accounting assistance with invoicing Assist with tracking/reporting of various HR and business related metrics. General HR administrative/clerical duties as needed. Special projects as assigned. Office Administration Responsibilities: Provide monthly reporting for clients. Verify and approve all invoices (insurance bills, maintenance bills, etc.). Ensure office supply levels are properly managed including ordering supplies, managing inventory and issuing supplies to the various departments/individuals as needed in accordance with any budgetary guidelines in place. Act as the point person for all issues of office maintenance needs, including: general office cleaning, basic repairs and vendors listings/contacts. Coordinate all day to day facilities and respond to and coordinate employee and departmental requests as needed. Ensure the coordination of special events and activities (business celebrations, employee meetings and communications). Qualifications: Bi-Lingual (Italian) Required* Bachelor’s Degree preferred Computer skills including Mac IOS Systems, MS Word, Excel, Power point , Google Drive Working hands-on in Quick books a plus Excellent verbal & written communication, organizational and time management skills required Must be able to multi-task and prioritize in a deadline-oriented environment Must have a professional phone demeanor and proven client service skills Possess exceptional attention to detail and strong follow-up skills necessary Maintain organization system of digital and physical files. Detail orientated and strong organization skills. Job Type: Part-time 20hrs/week
