SummaryThe customer services representative position is responsible for processing orders for produce received by mail, telephone, fax or e-mail or personally from customers or company employees. Interact with customers to provide and process information in response to inquiries, concerns, and requests about products and servicesEssential FunctionsEdits orders received for price and nomenclature.Answers phones and greeds visitors.Informs customers of unit prices, shipping date, anticipated delays and any additional information needed by the customer.Partners with the sales team, and internal departments to meet and exceed customer’s service expectations.Writes or types order forms, or enters data into a computer, to determine the total cost for the customer.Prints shipment documents and records or files copy of orders received.Follows up on orders to ensure delivery by specified dates.Prepares invoices and shipping documents such as export papers and commercial invoices.Specifies if special labeling is required for shipment and in some instances supplies to the shipping department.Confers with production, shipping, warehouse or common carrier personnel to expedite or trace missing or delayed shipments.Answers questions from customers or individuals about our products and direct them to the person able to assist them.Makes delivery appointmentsMaintains customer name and address database.Creates no-charge shippers for customer replacements.Other duties as requiredEducation and CompetenciesAdvanced proficiency in Excel, Word, and OutlookCustomer/Client FocusBilingual (Spanish – English) is PreferredDetail Oriented, Strong Follow-up skill and Teamwork CapacityCommunication ProficiencyHigh School Graduate or GEDPhysical DemandsThe physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.This is a largely sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary. Individuals may need to sit or stand as needed. This position may require walking primarily on a level surface for periods of time as well as reaching above shoulder heights or below the waist or lifting as required to file documents or store materials throughout the workday. Proper lifting techniques are required. This position may occasionally lift up to 25 pounds for files and computer printouts.
