The Executive Administrator, working closely with the VP & Chief of Staff, but acting independently, is accountable for coordinating daily activities and support for the Chairman, President & Chief Executive Officer (CEO), including ensuring that all administrative needs are provided. The position will: * Manage the CEO's calendar and arrange all details related to appointments and meetings, both internal and external. Coordinate dates for meetings of the Board, including full Board and Committee meetings. Coordinate dates for meetings and forums with the CEO and other executives in the company that take place periodically throughout the year. * Enable optimal use of the CEO's limited time by aligning his calendar with priorities, and providing a comprehensive level of administrative support. * Help manage all inflow of documents and information to and from the CEO, to ensure that decisions are made swiftly and in a coordinated fashion. Review the CEO's incoming/outgoing correspondence, and manage a system of sourcing and tracking responses. * Prepare all travel and lodging arrangements as required. * Support the CEO in hosting VIP guests across a variety of stakeholders, including other large employers, business partners and public officials. Create an environment of world-class hospitality for the CEO's guest. * Serve as a liaison between the CEO's office and administrative support across all other executives. * Manage and track expenses in the CEO's office, including expense accounts, departmental administrative expenses and special projects, within established budgetary constraints. * Handle phones for the CEO, including calls that reach the CEO's office from subscribers or providers by connecting them to the proper division for resolution, and following up to ensure closure has been reached. * Handle any other special projects or assignments for the CEO as needed.* Requires High School Diploma * Requires a minimum of ten (10) years of diverse business experience preferably in insurance industry. Skills: * Highest degree of trustworthiness given position of confidence and access to highly sensitive information in the CEO's office. * Comfortable in a fast paced, high tempo environment where multi-tasking is a daily event. * Detail oriented, can quickly and gracefully establish order amidst chaos. * Heavy customer service focus, including a high-level drive to see the CEO's needs met across every aspect of his day, and for the organization, as a means of ultimately serving our members. * Previous experience near the top of an organization, particularly where hosting external guests was a regular matter, would be a plus. * Comfortable with Microsoft Office, particularly Word, PowerPoint and Excel.
