Title: Executive Assistant Reports to: Chief Information Officer Location: New York Office Primary Responsibilities include: Coordinate meeting schedules, calendars, conference calls and book conference rooms for the IT Department and update calendar events as necessary. Assist with scheduling, planning and logistics for meetings Includes calendaring, coordinating meeting rooms and catering requests, partnering with security and reception, assisting with copies and preparation of written materials and filing of meeting documents. Handle telephone calls, visitors, mail and other inquiries received by the IT Department. Arrange and coordinate travel, assist with expense reports. Order and distribute office supplies. Process for payment all invoices and check requests, including purchase orders. Prepare new vendor set-up forms, as needed, and send to Accounts Payable to be set up for payment. Organize, label, store and retrieve files as needed, both paper and electronic. Scan documents, make copies and prepare outgoing mail packages. Qualifications 3+ years of experience in an administrative role preferred Proficient with Microsoft Office applications, including Word, Excel, PowerPoint, Adobe Acrobat and Outlook; must have desire, ability and aptitude to learn and manage other software applications and systems. Works well under pressure, team player, comfortable interacting with senior management and board members and able to serve as liaison and point person for the department. Excellent judgment. Manages sensitive, highly confidential, and proprietary information with the utmost level of discretion. Detail-oriented individual, who proactively organizes their own work, coordinates projects, sets priorities, meets deadlines and follows up on assignments with minimal supervision and direction. Extremely professional demeanor, demonstrates the highest level of personal integrity and adherence to ethical standards. Exceptional organizational skills with ability to manage computer files, paper files, and overall executive management needs. Capable of adapting to changing situations, demonstrating flexibility in juggling priorities. Ability to be present in NY headquarters on a full-time basis.
