Job Description: Provide full range of executive level administrative support. In addition, provide support in a coordinator capacity with a specific focus on process management, data reporting, file compliance and internal communications. Essential Responsibilities: Answering the telephone and ensuring clear and concise messages and strong professionalism Planning & creating meetings and managing heavy calendars Arranging for complex travel plans and events and prepare/reconcile T&L and Pcard reports Process invoices and ensure timely vendor payments Coordinate activities and meetings, planning for certain on-site and off-site events; includes coordination with outside parties Follow-up on emails, including mail distribution and re-route to appropriate individuals Ability to quickly and efficiently prepare PowerPoint presentations and preparation of general correspondence Ensure documents are posted accurately and timely in preparation for meetings/conference calls Attend staff/team meetings as required Travel (book on-line flight reservations and coordinate all travel/meeting logistics) Copying, typing, faxing, filing, updating/inputting business contacts, ordering/ maintaining office supplies/equipment Other duties and special projects as required Qualifications/Requirements: Minimum of 7 years of progressive administrative assistant experience Minimum of 4 years of experience working in an executive administrative capacity Minimum of 4 years of experience working with MS PowerPoint, Word, Excel and Outlook Desired Characteristics: Associates or Bachelor's Degree Prior experience working with Senior Executives and interfacing with leadership Minimum ten years administrative assistant experience Strong organizational and time management skills Strong interpersonal skills with ability to interact with individuals at all levels of the organization Ability to manage multiple projects effectively and with minimal supervision Dedicated, flexible and dependable team player Ability to accept responsibility and handle confidential information Excellent proficiency of MS PowerPoint, Excel and Word Impeccable organization and efficiency skills Strong attention to detail High level of integrity, confidentiality and self-confidence Clear, concise and articulate communication skills (verbal & written)
