With a team of over 1,500 nationwide associates, TMG is seeking an individual who can uniquely contribute to our 30+ years of success in the industry.The executive receptionist is the first employee visitors will meet upon entering the office and is responsible for providing excellent service to those with whom they come in contact It is the executive receptionists' role to ensure that colleagues and clients are accommodated professionally, courteously, and promptly with their requests. The executive receptionist should also be able to interact with senior executives and complete administrative tasks as directedKey Responsibilities:Meet, greet and direct guestsTransfer internal / external phone calls to individuals requestedContinuous review of Facilities Management group email requests as they relate to conference room bookings or outside visitor security system arrangementsEnter visitor names into OneFacility security system databaseWork closely with senior executives and their assistants on a one-to-one basisReview, analyze and prepare high level reportsHandle messages, refer questions and inquiries requiring assistance to appropriate personnel.Book and reserve meeting rooms, standard conference rooms and conference call telephone dial-in codes using Conference Room Booking systemCoordinate with Catering Vendors for refreshment service requestsCoordinate with IT Helpdesk staff for equipment or conference call requirements.Coordinate with Office Services / Facilities Management to ensure conference rooms are properly re-set and maintained throughout the dayWork with executives and administrative representatives providing assistance with event planning, projects and special requestsAssist with filing of bank documents as neededPerform data entry tasks as requestedProvide support to other staff and perform other duties as requested by client/managerMake Car Service ArrangementsMonitor inventories for executive pantry itemsMaintains statistical data and volume of visitors, calls and conference room reservations.Perform other duties as requested by Facilities Manager or Mailroom Supervisor Qualifications:High school diploma or GED required; Associate's degree preferred.Three or more years of experience as a receptionist in a corporate environment.Experience working with Microsoft Office, specifically a working knowledge of MS Word, Power Point and Excel.Strong work ethic; diplomatic; team- and service-oriented; builds strong working relationships.Ability to multi task is a fast paced environmentAbility to handle stressful situationsAbility to interact with high level executives and clientsExhibits superior verbal communication and phone skills.Consistently demonstrates professional demeanor, appearance and attitude.Proven ability to remain calm under pressure; resilient.Sound judgment and problem-solving ability.Anticipates challenges and key deliverables well in advance of deadline; adept at forecasting needs and plans workload and calendar accordingly; performs tasks with a sense of urgency and consistently meets deadlines.Able to appropriately handle confidential and highly sensitive material.Demonstrated ability to be flexible and adapt to an ever-changing work environment.Assertive and resourceful; motivated; willing to ask questions and take initiative without direction must be fluent in English and be able to communicate clearly.WATCH Where Service Matters: For more information, or to apply now, you must go to the website below.
