JOB SUMMARY An Executive Secretary works under direct supervision and provides a wide variety of administrative support services. Serves as an administrative liaison with others inside and outside the organization. ESSENTIAL FUNCTIONS Provides administrative support to executive officers. Prepares letters, emails and reports by taking dictation and transcribing notes. Schedules and maintains professional and personal calendar of appointments, meetings and travel arrangements. Acts as a point of contact within the organization as well as for clients and vendors. Responds to internal and external telephone calls, provides clients and visitors with accurate, responsive and courteous customer service. Sets up and maintains client files and coordinates shipment and retrieval of files/records from offsite storage facility. Provides back up to other secretaries and receptionist when needed Orders office supplies, maintains order in supply/copier room, and may arrange for repair/maintenance of office equipment. ADDITIONAL COMMENTS Performs special projects, and additional duties and responsibilities as required.{Where applicable and when performing the responsibilities of the job, employees are accountable to maintain Sarbanes-Oxley compliance and adhere to internal control policies and procedures. QUALIFICATIONS: Education and experience: High School Diploma or equivalent required Minimum two to five years of administrative/secretarial experience in a fast paced environment Knowledge, skills and abilities: Proficient in MS Office with dictation, transcription skills.
