This challenging role as a Senior Administrative Assisatnt will support the senior level executive over Third Party Distribution (TPD) Service Operations and the overall department, as applicable. The qualified candidate will work well in a team-environment while providing total support to the executive in all aspects of their role. The role requires a high attention to detail as well as exposure to confidential information. Responsibilities will include, but not be limited to: Maintaining the overall support of the executive, including high volume phone coverage, complex business calendar and correspondence in a timely and professional manner. Handle registration and coordination of company representation for the Vice President and her staff for outside seminars/conferences. Maintain current employees’ personnel files and personnel records for the service teams Maintain attendance records on SAP for service teams within the department. Coordinate special events and catering services for seminars and training classes internally. Coordinate meetings, conference calls, video conferencing and travel arrangements (as applicable) with high attention to detail and follow-up. Provide status updates on all projects and handle expense reports, tracking and reporting for the department as well as assisting with the day-to-day operations. Coordinate all document tracking and retention while ensuring their accessibility. Liaise within the department, across the organization and with external partners/vendors/associations. Coordinate efforts to ensure that projects are delivered on time and schedules are adhered to on a daily/weekly basis. Operate as the department contact to on-board new/transferred/promoted employees with access codes, business cards, set-up, etc. Supporting department with the creation of presentation packages and reports for meetings Route incoming phone calls and messages and/or assist callers to appropriate people/areas Responsible for paying invoices for the department Orders office supplies and maintains department inventory Reviews and distributes mail as appropriate Handles Ad-hoc projects and assignments as the business dictates Scope of the Role (Impact & Clients) Capable of interacting and effectively working with senior executives, team members within the department, with employees throughout New York Life, as well as with external business partners/contacts. This individual will be empowered to act on behalf of the executive(s) and will truly be a partner on all day-to-day operations. Desired Qualifications: High School Diploma, Bachelors Degree preferred 5+ years as an Administrative Assistant in a corporate environment Exceptional interpersonal and communication (verbal and written) skills Excellent organizational skills with a high attention to detail Ability to multitask and set priorities Detail oriented with strong follow-up skills Strong work ethic Flexibility in a fast-paced corporate environment. Team player with the ability to work independently, demonstrate initiative and exercise good judgment Ability to collaborate and establish strong relationships with all levels of the organization.
