JLL is seeking a Facilities Coordinator in NYC, NY. The Facilities Coordinator will provide general overall FM support services including continuous Management of the NYC violations program, Payment of violation invoices, management of third party legal response to court hearings, and management of the work order system in relation to the court hearings. Work with members of the Facilities Management team to manage violation resolution. Preparation of Quarterly ECB violations reports, summarizing spending and savings across various violation types and generation of an annual ECB violations summary report are standard requirements of the position. Other clerical duties will be assigned as required. Essential Duties and ResponsibilitiesAssist Facility Management Team with violations management and remediation of fines on behalf of the entire account.Process violation fines and various permit fees for payment.Maintain violations data banks and online violations files as directed.Manage our third party legal partner to attend required hearings in the North East Region. Maintain records on hearing outcomes.Generate Quarterly and annual ECB violations reports for JLL Sr. Management for reporting to Capital One. Track ECB spend and savings data on an ongoing basis.Work closely with our third party trash hauling vendor to ensure that violations incurred and under their area of responsibility are captured, and that payment for those fines are not incurred by Capital one.Must have the ability to search the NYC violations system and pull real time information regarding outstanding fines including actual amounts due to the agencies.Must be able to travel to NYC offices as need for payment of violations or paperwork submission.Must have the ability to work overtime as required in order to meet deadlines.Coordinate meeting events in support of the client or JLLProvide support for meetings and conference room reservations as needed and directedAct as an interface with corporate offices, client, visitors and guestsEnsure appropriate follow up with violation issues are completed and documented.Provide direction/information to vendors, facilities staff and service providers as required to ensure excellent coordination/execution of work within client environment with minimal disruptionAssist with researching, analyzing and reporting Required Knowledge, Skills and Abilities2+ years' experience with Facility or Property managementSuperior customer service skills and orientationAbility to maintain professionalism at all times under stressful situationsAbility to plan and manage work under time constraintsAbility to multitask and work without direct supervisionProficient in MS Office, and possess strong written, verbal and people skillsStrong organizational skills and collaborative styleMust be proficient at Excel Spreadsheets and have capability of customizing administrative reportsAssociates degree in facilities management, building, business or other related field or equivalent experience.
