Job Description Experienced Property Manager Job Scope: Responsible for the proper management and maintenance of Tax Credit’s & Section 8 properties. Accountable to protect, maintain, and enhance the value of commercial real estate assets in order to maximize Management’s financial return and for the benefit of the tenants, consumers, and the community. This is accomplished through direction and coordination of the properties’ operational activities and leasing. The Property Manager represents Management to both the company’s tenants and the public. Specific Duties and Responsibilities/Essential Job Functions: · Perform resident interview and selection process in order to fill vacant units · Maintain full occupancy of the property · Lease new and turnover apartments, including transfers · Maintain wait list for transfers due to overcrowding or underutilized units · Collect rent from tenants, including the issuance of legal late rent notices, and follow up with tenants in case of non-payment of rent · Deposit tenant rents with bank daily using bank scanner and log receipt of tenant rents into RealPage on tenant ledger · Prepare monthly vouchers and submit to the monitoring agency prior to the 10th of every month · Input all leasing information into RealPage/OneSite as received to ensure household information is updated and accurately computed in the system · Request small claims from monitoring agency after rent-up of vacant unit and submit copies to the Accounting Department · Coordinate with Superintendent to assure cleanliness and maintenance of property’s common areas, sidewalks, parking lots, and grounds · Assign work orders to Maintenance personnel and follow up to ensure proper completion in reasonable amount of time · Perform, in advance of inspections by REAC and DCA, a thorough property and grounds inspection and prepare and submit a written report detailing any issues that should be addressed in advance of any inspections · Perform periodic inspections of the property’s apartments, common areas, grounds, and parking lots to ensure cleanliness and proper maintenance and to determine necessity of any repairs, preventive maintenance, and evaluate adequacy of housekeeping services · Prepare and submit on the 1st and 15th of every month a written report to the main office and the Regional Manager regarding results of property inspections · Prepare purchase orders for approval · Perform a check of 20 percent of all completed work orders to ensure acceptability of the work completed · Monitor the inventory of supplies necessary for regular operation of the property · Prepare and submit annual certification of income for Section 8 or tax credit residents as required according to the tenant’s move-in date or the interim reporting of changes · Organize and host regular monthly tenant meetings with tenants to ensure maximum tenant cooperation and to discuss community standards of conduct, housekeeping, property maintenance, resident complaint procedure, and maximum use of community resources (such as police and other agencies) Organization-Wide Standard Responsibilities: · Attendance and Punctuality o Arrive at job and meetings on time o Attend and actively participate in all required meetings o Must not exceed allowable paid time off o Must not miss work without proper and timely notification o Consistently complete assignments on time · Teamwork and Communication o Support all co-workers and take accountability for all team assignments from start to finish o Remain open-minded and respect the opinions of others o Maintain excellent internal and external “customer” service o Prioritize and maintain excellent departmental, interdepartmental, and firm-wide communication o Provide timely follow-up/progress on all work o Must be approachable and readily share information and knowledge o Remain professional during both calm and stressful times Knowledge, Skills, and Abilities Required: Project management Collaboration Team work orientation Problem solving/analysis Attention to detail and high level of accuracy Excellent interpersonal and communication skills Ability to establish priorities, work independently, and proceed with objectives without supervision This job description in no way states or implies that these are the only duties to be performed by the employee occupying this position.
